Coming off paper and spreadsheets: the first migration is the easy one

Shops moving from whiteboards and spreadsheets have an advantage they rarely notice: almost nothing has to be migrated, so the whole cost is training.

What you are not carrying

No historical job records to map, no equipment database to reconcile, no integration to rebuild. A shop coming off paper starts with a customer list and current open work, and that is a day of typing rather than a project.

This is genuinely the cheapest moment to choose a platform, and it is the moment when the choice matters most, because the next migration will not be cheap.

Where the cost actually is

Training and habit. The office will adapt in a week. The field will take longer and some of it will resist. Budget for that rather than being surprised by it.

The price book, if you run flat rate. Building one from scratch is the largest single task in most first implementations.

Parallel running. Most shops keep the whiteboard for a few weeks. That is sensible and it is also a period of double work.

A sequence that works

Load customers and open jobs only. Not history.

Run scheduling and dispatch alone for two weeks, with paper still on the wall as a fallback.

Add invoicing and payments once dispatch is habitual.

Add the price book and quoting last.

Turn off the whiteboard only when nobody has looked at it for a week.

The common failure is switching everything on at once, having a bad fortnight, and concluding the software is the problem.

The mistake is spending the trial exploring features. Spend it running one real workflow badly, then well.
